INBOUND PLACEMENT PROCESSES AND PROCEDURE
The student is responsible for ensuring that all matters relating to the inbound placement application are conducted in an ethical, conscientious, trustworthy and committed manner.
- BEFORE INBOUND PLACEMENT
Student is required to complete and submit visa application at least two (2) months before the training date. The visa application documents are as below:
- Checklist VDR (Application for Professional Pass) (Appendix 1)
- IMM.12 Form
- IMM.38 Form (Appendix 2) (Appendix 2a_Sample of filled form)
- Proof of payment:
- One (1) copy of the information on the Malaysian Embassy address in your own country for collecting of the VDR (to be printed in A4 paper). Please refer to the Ministry of Foreign Affairs, Malaysia at http://www.kln.gov.my for further reference.
- Passport Size photo with WHITE colour background (3.5 cm x 5.0 cm)
- To be printed by the host Faculty/Research Centre/Department
- A set of Curriculum Vitae/Resume
- To be printed by the host Faculty/Research Centre/Department
- A set of latest academic transcript
- To be printed by the host Faculty/Research Centre/Department
- A set of scan copied passport all pages including blanks pages
- To be printed by the host Faculty/Research Centre/Department
- A schedule time table of the research programme intended
- Personal Bond Form (Appendix 4) (Appendix 4a - Sample of filled form)
IMPORTANT NOTE:
- DURING INBOUND PLACEMENT
- Fill in and submit the Report Duty form (F.IN.1b) (Appendix 6) to CITra’s office
- AFTER INBOUD PLACEMENT
- Please completed and prepared documents as stated in item 1 to 11 and submit to the host Faculty/Research Centre/Department for the Visa application purposes.
- The host Faculty/Research Centre/Department will compile all documents and submit to the VISA office.
- Please follow-up with the host Faculty/Research Centre/Department or the Visa Unit office for your visa application status. Below are the Visa Unit address and contact details:

- Admission Letter
- Email confirmation letter from hosting Faculty/Research Centre/Department to citra@um.edu.my in order for CITra’s office to issue you the admission letter
- Visa Requirement Letter
- Please provide the following information for us to issue you the visa requirement letter:
- Name of Student
- Nationality
- Passport Number
- Programme Study (i.e internship programme, research programme)
- Initial Registration
- Expected to Complete
- Maximum period of study
- Acceptance Form (F.IN 1a) (Appendix 5)
- Fill in and submit the Report Duty form (F.IN.1c) (Appendix 7) to CITra’s office
- Fill in and submit the Inbound Student’s Feedback form (Appendix 8) to CITra’s office
IMPORTANT NOTE:
- Please provide information and documents as stated in item 12 and 13 and submit to citra@um.edu.my. The Admission letter and the Visa Requirement Letter will be issued by CITra’s office and will email it to student for the visa application purposes.
